1. About this policy
Bioport Ai Pty Ltd (ABN 78 703 344 101) (“Bioport Ai”, “we”, “us” or “our”) provides professional business and consulting services to organisations across Australia. We are based in Melbourne VIC and operate this website at https://bioportai.online.
We are committed to protecting your privacy and handling personal information openly and transparently. This policy explains how we manage personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). References to “personal information” mean information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.
This policy applies to all personal information we collect and hold, including information collected through our website, by email, through client engagements and in other business dealings.
2. Information we collect
The types of personal information we may collect include:
- contact details, such as your name, email address, job title and organisation;
- business information you provide when making an enquiry, requesting a quote or engaging our services, including details of your business needs, objectives and circumstances;
- records of correspondence and communications between you and us;
- billing and administrative information necessary to provide invoices and manage our client relationships;
- website usage information, such as pages visited, browser type and device information, collected through cookies and similar technologies.
We do not collect sensitive information (such as health information or information about racial or ethnic origin, political opinions or religious beliefs) unless it is reasonably necessary for one of our functions or activities, you have consented, or we are otherwise permitted or required by law to collect it.
Where it is practicable, we will allow you to deal with us anonymously or using a pseudonym, for example when making a general enquiry. However, in most cases it is not practicable for us to provide our consulting services unless we can identify you and your organisation.
3. How we collect information
We collect personal information in a number of ways, including:
- directly from you, when you complete a form on our website, send us an email, meet with us or otherwise correspond with us;
- from your representatives, such as colleagues, advisers or agents acting on your behalf;
- from third parties you refer to us, where you have consented or would reasonably expect us to receive that information;
- automatically, through cookies and analytics tools when you use our website.
Whenever it is reasonable and practicable to do so, we collect personal information directly from you. If we receive personal information from a third party, we will handle it in accordance with the APPs and this policy.
4. Why we collect personal information
We collect, hold, use and disclose personal information for purposes including:
- responding to your enquiries and providing quotes for our services;
- providing professional business and consulting services to you or your organisation;
- managing our client relationships, contracts, invoicing and internal record-keeping;
- improving our website, services and client experience;
- sending you information about our services, where you have consented or where permitted by law;
- complying with our legal and regulatory obligations, including taxation and corporate record-keeping requirements.
We will only use or disclose personal information for the primary purpose for which it was collected, or for a related secondary purpose you would reasonably expect, unless you consent to another use or an exception under the APPs applies.
5. Disclosure of personal information
We do not sell personal information. We may disclose personal information to:
- our professional advisers, such as accountants, lawyers and auditors;
- service providers who support our business, including providers of IT, hosting, cloud storage, email and administrative services;
- contractors and subcontractors engaged to deliver work on our behalf, who are bound by confidentiality obligations;
- government bodies, regulators or law enforcement agencies, where required or authorised by law.
Where we disclose personal information to third parties, we take reasonable steps to ensure those parties only use the information for the purpose for which it was disclosed and handle it in a manner consistent with this policy and the APPs.
6. Overseas disclosure
Some of the service providers we use may store or process personal information on servers located outside Australia, for example cloud-based software and email services. Where personal information is likely to be disclosed to an overseas recipient, we take reasonable steps, in accordance with APP 8, to ensure the recipient does not breach the APPs in relation to that information, including through contractual safeguards where appropriate.
7. Security and retention
We take reasonable steps to protect personal information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access controls on our systems, secure password practices, encryption where appropriate and secure disposal methods.
We only retain personal information for as long as it is reasonably necessary for the purposes set out in this policy, or as required by law, such as our record-keeping obligations under Australian tax and corporations legislation. When personal information is no longer required, we take reasonable steps to destroy it or ensure it is de-identified.
9. Access and correction
Under APP 12 and APP 13, you have a right to request access to the personal information we hold about you, and to request corrections to information that is inaccurate, out of date, incomplete, irrelevant or misleading.
To make a request, email us at ceo@bioportai.online. We will respond within a reasonable period and, where appropriate, provide access in the manner you request. There is generally no charge for making a request or for correcting your personal information; however, we may charge a reasonable fee for providing a copy of the information, which we will advise you of before proceeding.
If we refuse a request, we will provide written reasons for the refusal and information about how you may complain about our decision.
10. Direct marketing
We may send you direct marketing about our business and consulting services where you have consented, or where it is permitted by law and you would reasonably expect to receive such communications. Every marketing communication we send will identify us and include a simple way to opt out of future communications.
You may opt out of direct marketing at any time by using the unsubscribe facility in our messages or by emailing ceo@bioportai.online. We will also, on request, tell you the source of any personal information used for direct marketing.
11. Data breaches
We maintain procedures to identify and respond to suspected data breaches. If an eligible data breach occurs that is likely to result in serious harm to any individual whose information is involved, we will promptly assess the breach and, where required under the Notifiable Data Breaches scheme, notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
12. Complaints
If you believe we have breached this policy or the Australian Privacy Principles, or if you have any concern about how we handle personal information, please contact us at ceo@bioportai.online.
We will acknowledge your complaint promptly, investigate it fairly and respond to you within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.
13. Third-party websites
Our website may contain links to third-party websites for your convenience. Those websites are not controlled by us, and this policy does not apply to them. We encourage you to review the privacy policies of any third-party websites before providing personal information to them.
14. Changes to this policy

The current version will always be published on this page, together with the date of the most recent update.
